District Office Bilingual Receptionist

DEFINITION
Responsible for handling front office reception,administration, and building management duties of the Carbondale district office, including greeting guests, answering phones, handling inquiries, sorting and distributing mail, and providing Spanish interpretation and translation. In addition, the person in this position will provide administrative support to a variety of teams in Carbondale and Glenwood Springs.
SUPERVISION RECEIVED AND EXERCISED
Receives direct supervision from the Senior Project Manager.
PRIMARY DUTIES
- Act as an ambassador for the building, by providing exceptional customer service to all district staff and visitors. Answer the main phone line and greet visitors; respond to requests for information and assistance.
- Provide interpretation and translation (newsletters, documents, crises--real-time). Requires excellent written/oral communication in Spanish and very good written/oral communication in English.
- Provide assistance with printing, copying, and mailing (including picking up, sorting, and delivering mail).
- Order supplies and business cards.
- Coordinate, arrange and set up meetings, including reserving rooms and organizing meals.
- Serve as Bridges building manager, maintaining orderly working conditions in all rooms of the building, and submitting work orders for the building and others Bridges staff as needed; provide support for facilities use and rentals.
- Track students who are homeschooled and help ensure timely submissions of paperwork.
- Maintain and issue cards for students insurances that take or enroll in driver’s education.
- Issue student transcripts; distribute transcripts to colleges or to requesting agency when individual schools are unable to do so.
- May assist in issuing staff identification badges.
- Type and proofread a wide variety of reports, letters, memoranda and correspondence; independently compose correspondence.
- Utilize various computer applications and software packages; enter data and maintain and generate reports.
- Assist other District Office staff with special projects and other duties as assigned.
QUALIFICATIONS
- Work efficiently with a service oriented attitude under stressful situations with constant interruption.
- Demonstrate excellent execution skills, including attention to detail and organizational skills.
- Ability to build and maintain strong relationships.
- Ability to work successfully alone or on a team.
- Strong verbal and written communication skills.
- Bilingual and biliterate (English and Spanish) required.
- Extensive knowledge of Google, Microsoft Office programs, especially Word/Google Docs and Excel/Google Sheets.
- Fluent in principles of business and letter writing and basic report preparation.
- Basic mathematical principles.
- Implement and maintain standard filing system.
- Work independently in the absence of supervision.
- Maintain confidential records and reports.
- Operate and use modern office equipment including a computer and various software packages.
- Communicate clearly and concisely, both orally and in writing.
- Establish and maintain effective working relationships with those contacted in the course of work
EXPERIENCE & TRAINING GUIDELINES
Experience: Three years of clerical support or administrative support.
Training: Equivalent to the completion of the twelfth grade supplemented by specialized clerical training.
WORKING CONDITIONS
Office environment; exposure to computer screens.
Physical Conditions:
Primary functions may require maintaining physical condition necessary for sitting for prolonged periods of times; use of computer keyboard.
